PRIVACY NOTICE
Ana Titcombe Design Ltd. Last updated 21st September 2026.
About us
We are Ana Titcombe Design Ltd – an occupational therapy-led interior design studio. Our registered address is Sanders Gate, Churchfields, Stonesfield, Witney, Oxfordshire, United Kingdom, OX29 8PP. As part of our services, we process personal information about you. This privacy notice explains how we use your personal information. We are a controller under data protection law. This means we are responsible for collecting and processing your personal information.
What personal information do we collect?
We collect personal information you provide to us, such as information about where you live, and your name, age, and contact details. We also collect certain information from you when we provide our services and when we visit your home to carry out an assessment. This may include, for example, information about the dimensions and layout of your property, design preferences, project requirements, information about budgets, and payment and invoice information.
We collect personal information directly from you when you email or phone us, book a consultation, complete an enquiry or contact form on our website, complete an Order Form, provide measurements, photographs or room details, respond to our questions, or otherwise communicate with us. We may also collect personal information from someone acting on your behalf, such as a family member, carer, occupational therapist, employer, architect, contractor or supplier, where this is appropriate and lawful.
Like many websites, our website uses cookies and similar technologies to help it work properly and understand how visitors are using it. If we use non-essential cookies, we will ask for your consent where required by law. In addition, we will collect website usage data and technical information such as your IP address, browser type, device information and how you use our website. Our cookie policy explains this in more detail.
If you contact us through our website, please do not include detailed information about your health in an enquiry form. A brief description of what you are looking for is enough at that stage, and we will discuss your needs with you directly.
We collect special category information
In order to provide our services, we collect and process special category information, including information about your physical and mental health, disabilities you may have, and any medical conditions you may have. This type of information is given special treatment under UK data protection law, because it is particularly sensitive.
We will only collect and use special category information where we have a lawful basis under data protection law and where an additional condition for using this type of information applies. This may include the provision of health and social care; explicit consent; or if we need to use or share information to protect your vital interests or for safeguarding reasons.
With whom do we share your personal information?
• We will share your personal information with third-party suppliers whom you have requested we contact on your behalf. For example, suppliers of furniture, fittings, appliances and installation services.
• We may share personal information to the extent we need to with our professional service providers, such as our legal advisors, accountants, and insurers.
• We may share your personal information with third-party subcontractors who carry out services on our behalf, such as IT service providers, and the providers who host our website and handle enquiries sent through it.
• We may share your personal information with HMRC if you have asked us to do so, for the purpose of VAT relief.
• We may share personal information with third parties whom you have given us permission to share it with. For example, if you have given us permission to contact a family member, supplier, health professional, or other person.
• In exceptional circumstances, if, when we speak to you or visit you, we are concerned about your health, safety or wellbeing, we may share relevant personal information with appropriate support services, such as your GP, local authority social services or safeguarding services.
Information about children and vulnerable individuals
We do not normally collect information about children. The only time we may do this is if you are a parent or guardian and you have asked us to provide services in respect of your child. Sometimes we may collect and process personal information about vulnerable adults. If we process personal information about children or vulnerable adults, we will do so only where relevant to the services we provide and in accordance with data protection law. Where appropriate, we will involve a parent, guardian, carer or other authorised person.
How do we use your personal information?
We use your personal information for the following purposes:
• To provide our services to you, including carrying out assessments, making recommendations, liaising with other professionals and suppliers, and administering invoices.
• To respond to enquiries you send us through our website, by email or by phone.
• To occasionally let you know about other services we provide or any special offers. You can let us know if you do not wish to receive this information at any time.
• We use third party artificial intelligence tools to provide our services, including for example, for the purposes of transcribing and collating information and rendering designs. The information we process using these technologies may include your personal information.
• Our occupational therapy services and our design services are provided under separate contracts. Where you ask us to provide both, information gathered during an Intentional Home Audit may be used to inform the design work we carry out for you.
• Where you have given us your explicit consent, to use photographs of completed work to promote our services. This is optional, you may choose which uses you agree to, and you may withdraw your consent at any time.
What is our lawful basis for processing your personal information?
We will only use your personal information where we have a lawful basis to do so under UK data protection law. Depending on the circumstances, we rely on the following lawful bases to process your personal information:
• Where we need to use your information to perform our contract with you or take steps before performing our contract.
• If it is necessary for our legitimate interests, such as communicating with you, managing our relationship with you, running our business, and letting you know about other services or special offers.
• Where we need to comply with a legal obligation.
• If we have your consent.
• In exceptional circumstances, if we need to use or share information to protect your vital interests, for example if we believe your health, safety or wellbeing is at serious risk.
• When we collect and process special category data, our lawful basis for doing so is usually because the processing is necessary for the provision of health and social care, or because we need to in order to protect your vital interests. Where we use photographs of your home for marketing, we rely on your explicit consent.
What rights do you have under data protection law?
You have rights under UK data protection law. These include the right to ask us for a copy of the personal information we hold about you; to ask us to correct personal information that is inaccurate or incomplete; to ask us to delete your personal information in certain circumstances; to ask us to restrict how we use your personal information; to object to certain uses of your personal information; and to ask us to transfer certain information to you or another organisation, where this right applies.
Where we rely on your consent, you also have the right to withdraw that consent at any time. Withdrawing your consent does not affect anything we have already done on the basis of it.
These rights do not apply in every situation, and there may be legal reasons why we cannot comply with a request in full. If you want to exercise any of your rights, please contact us using the contact details below. We may need to ask you for information to confirm your identity and understand your request before responding.
How long do we keep your personal information?
We keep your personal information for as long as necessary to provide our services and deal with any related queries. We may keep records of the services we have provided, communications with you, contracts, invoices and payment records for up to six years after our relationship with you ends, so that we can manage our legal, accounting and tax obligations and handle any claims. If you have agreed to receive marketing communications, we may keep your contact details for that purpose unless you ask us to stop. Enquiries made through our website that do not lead to us providing services are kept for a shorter period.
How do we keep your personal information secure?
We use appropriate technical and organisational measures to protect personal information against unauthorised access, loss, misuse, alteration or disclosure. We limit access to personal information to people and organisations who need it for legitimate business reasons and who are subject to appropriate confidentiality or contractual obligations. Where we handle health or other special category information, we apply additional care because of its sensitive nature.
What should you do if you have concerns about how we use your personal information?
In the first instance, we would always ask you to contact us using the contact details below. We will try to resolve the issue. However, you also have the right to contact the Information Commissioner, the data protection regulator. You can find out more information about how to complain to the Information Commissioner by visiting their website: www.ico.org.uk.
